An AI receptionist is software that answers your business phone with a synthetic voice. It greets the caller, asks what they need, answers simple questions, books a slot or takes a message, and sends you a summary. It is worth paying for when the calls you miss are costing you jobs, and only when every call it takes reaches you fast.

A missed call does not have to end in voicemail. It can become a message your customer answers.

The Real Problem Is Calls That Ring Out

Nobody buys an AI receptionist because they love AI. They buy one because the phone rings while they are under a sink, on a ladder, or asleep.

One owner who audited a month of call logs summed up the leak: "Almost nobody leaves a voicemail anymore; they just hang up and call the next contractor on Google." A plumber with two technicians described the same thing after hours: "Someones pipe bursts at 8pm so they call us, get voicemail and call the next guy on google instead."

So the first question is not "which AI receptionist?". It is "when do my calls go unanswered, and what does each one cost me?". Check your phone or call system for a month of missed calls. Note what time they came in and how many you never called back. If the answer is two calls a month, you do not need any of this. If it is twenty after 6 PM, read on.

Three Ways to Catch a Missed Call

There are three tools for this job, and they are not the same price or the same experience.

Missed-call text-back. When a call goes unanswered, the caller gets a text within a minute: "Sorry we missed you. What do you need, and when?" It costs almost nothing and keeps the lead warm. One commenter on that missed-call thread made a sharp point: the text-back "works a lot better if it actually asks something (what's the job, when do you need it) instead of just saying we got your message."

AI receptionist. A voice agent picks up, asks your questions, books into your calendar, and sends you a summary. It answers every call at any hour, but some callers hang up the moment they hear it.

Human answering service. A real receptionist in a call centre answers in your business name and follows your script. Callers trust it most, and it costs the most.

Option Best for
Missed-call text-back Callers who will text back
AI receptionist After-hours and overflow calls
Human answering service High-value or emotional calls

Will Customers Hate Talking to It?

Some will. Ignore anyone who tells you otherwise.

When an owner asked whether voice AI is worth the cost, the top reply was blunt: "I've yet to meet a customer that wants to talk to a voice AI." Another owner who tried one a year earlier called it "a glorified answering machine."

The worst story came from a small HVAC company that replaced its human receptionist. A caller wanted a whole new system. The AI took his details, but when he asked specific questions, "it couldn't answer them and told him someone from the office would have to get back to him. He clearly didn't want to wait and hung up." He signed with a competitor. The owner's sibling then added the line every buyer should remember: "If other people just hang up, we'd have no idea we were losing them."

Three design choices cut most of the damage:

  • Say it is an AI in the first sentence. "Hi, you've reached Sharma Plumbing's automated assistant." Callers who feel tricked hang up angrier than callers who were told.
  • Start after hours only. A law firm owner worried about stressed clients got the simplest advice in the thread: "just turn it on after hours?" At 9 PM the alternative is voicemail, not a person.
  • Hand big calls to a person, fast. Any caller who asks for a human, sounds upset, or describes a job above a value you set gets transferred or gets a call back within 15 minutes. The AI collects details. A person closes.

What an AI Receptionist Costs per Month

Prices below are from each vendor's own pricing page in October 2026. The example is a small service business that misses 60 calls a month after hours, averaging 3 minutes each.

60 calls a month Cost a month
Missed-call text-back (Twilio) About $2
Goodcall AI receptionist $79
Smith.ai AI Receptionist $105
Ruby human receptionists $720

How each number is worked out:

  • Missed-call text-back. Twilio charges $0.0083 per US text plus a carrier fee of up to $0.005, so 60 texts cost about $0.80. A local number is $1.15 a month. US business texting also needs A2P 10DLC registration, which has its own one-time fees, plus whatever tool runs the workflow.
  • Goodcall. The Starter plan is $79 a month for 100 unique callers, then 79 cents per extra caller. Minutes are not metered.
  • Smith.ai. The AI Receptionist starts at $0 for 25 calls a month and $3 per call after that, so 60 calls cost 35 × $3 = $105. Smith.ai can also transfer a call to a live receptionist.
  • Ruby. Human receptionists cost $250 a month for 50 minutes up to $1,725 for 500. Sixty 3-minute calls use 180 minutes, so you need the 200-minute plan at $720.
Monthly cost of four ways to catch 60 missed callsFor a small business that misses 60 calls a month, averaging 3 minutes each: a missed-call text-back on Twilio costs about $2 a month, Goodcall's AI receptionist Starter plan costs $79, Smith.ai's AI Receptionist costs $105 (25 free calls, then 35 calls at $3 each), and Ruby's human receptionists cost $720 for the 200-minute plan that covers 180 minutes.Missed-call text-back (Twilio)≈ $2Goodcall AI receptionist$79Smith.ai AI Receptionist$105Ruby human receptionists$720
For 60 missed calls a month at 3 minutes each, a missed-call text-back costs about $2, Goodcall $79, Smith.ai $105 (25 free calls plus 35 × $3) and Ruby's human receptionists $720 for 200 minutes.

Now compare that with one job. If a single saved after-hours call is worth more than the monthly fee, the tool pays for itself in one booking. If your average job is small and most callers will text, the text-back wins by a mile.

Three Checks Before You Pay for Any AI Receptionist

Most AI receptionist complaints are not about the voice. They are about what happens after the call ends. Test these three things in the free trial, with real calls from your own phone.

  1. The booking lands. When the AI says "you're booked for Tuesday at 10", the slot appears in your real calendar or CRM (customer relationship management software, where you track customers and jobs). If it only emails you a "call back so and so" task, you are still doing the work.
  2. Every call is traceable. Each call leaves a record you can find later: caller number, time, a short summary, and the recording or transcript. If a customer says "I called on Friday", you should be able to check in 30 seconds.
  3. Failures alert you. Call forwarding can break, a calendar connection can expire, and the AI can go down. You need an alert on WhatsApp, SMS or email when a call fails or the AI could not book, not a silent gap you find a week later.

Check 2: every call is traceable, with the caller number, time, a summary, and the recording or transcript. If a vendor fails any of these in the trial, walk away. We cover why quiet failures are the most expensive kind in why automations break in month two.

India: Send Missed Callers to WhatsApp

In India, most of your customers already live on WhatsApp, and many would rather type than talk to a machine. So the missed-call text-back usually becomes a missed-call WhatsApp message.

How a missed call becomes a WhatsApp conversation in IndiaStep 1: a customer calls your cloud phone number, for example on Exotel, and nobody answers. Step 2: Exotel's Passthru applet sends the call details to an n8n workflow. Step 3: n8n sends an approved WhatsApp template within a minute, costing ₹0.115 if Meta approves it as utility or ₹0.8631 as marketing. Step 4: the customer replies on WhatsApp, and your service replies are free for the first 1,000 each month. Step 5: you get an alert and a person replies.1Customer calls, nobody answersOn a cloud number, for example Exotel2The call system tells n8nExotel's Passthru applet sends call details3WhatsApp template within a minute₹0.115 as utility, ₹0.8631 as marketing4Customer replies on WhatsAppService replies: 1,000 free each month5You get an alert and replyA person takes it from here
A missed call triggers a WhatsApp template within a minute, which costs ₹0.115 as a utility message, so 60 missed calls a month cost 60 × ₹0.115 = ₹6.90.

Here is how it works:

  1. Put calls on a cloud phone number. A cloud telephony provider such as Exotel gives you a business number. Its Passthru applet sends each call's details to your own web address, so your workflow knows when a call went unanswered.
  2. Send a WhatsApp template within a minute. A tool like n8n (an automation tool that connects apps and runs steps for you) receives that alert and sends an approved WhatsApp template: "Sorry we missed your call. Reply here with what you need, and we'll get back to you today."
  3. Route the reply to a person. The customer's reply lands in your WhatsApp inbox, and you get an alert. Replies inside the 24-hour customer service window are service messages, and the first 1,000 each month are free.

The cost. The missed-call message is a template your business starts, so it is billed. If Meta approves it as a utility template, it costs ₹0.115 in India. If Meta classes it as marketing, it costs ₹0.8631. Sixty missed calls a month cost 60 × ₹0.115 = ₹6.90, or 60 × ₹0.8631 = ₹51.79. Our WhatsApp API pricing guide explains the categories.

Calls on WhatsApp itself. Meta's WhatsApp Business Calling API lets customers call your business number inside WhatsApp, and all user-initiated calls are free. It can show your calling hours and offer a callback request when nobody picks up. The catch: your number must be on the Cloud API, not the WhatsApp Business app, and must already have a messaging limit of at least 2,000 unique customers a day. Check yours in WhatsApp Manager before you plan around it.

A Hindi voice agent, if you really need one. Indian voice AI platforms answer in Hindi and Hinglish. Bolna, for example, starts at ₹5.52 a minute on pay-as-you-go, before telephony and platform fees. Our 60 calls of 3 minutes each would cost 180 × ₹5.52 = ₹993.60 before those fees. Use it for urgent calls where the caller will not type, such as a breakdown or a medical booking, and keep WhatsApp for the rest.

How to Decide

Use this order. Each step only if the one before it is not enough.

  1. Count your missed calls for one month. No count, no purchase.
  2. Turn on a missed-call text-back that asks a question. WhatsApp in India, SMS in the US, UK and Australia. Most callers who wanted a quote will answer it.
  3. Add an AI receptionist after hours only if your callers have urgent problems and will not text, such as burst pipes or locked-out customers. It must say it is an AI, log every call and hand big calls to a person.
  4. Use a human answering service if each call is high-value or emotional, such as legal, medical or a big system replacement, or if your local customers are strongly against AI.
  5. During business hours, keep a person first. Let the AI pick up only after several rings, as overflow.

If you want this built and tied into your CRM and WhatsApp, that is what our lead generation automation work covers. For the follow-up that happens after the call, see how to automate lead follow-up with AI.

FAQ

Q: Is an AI receptionist worth it for a small business? It is worth it when you miss calls after hours or while working, and each missed call can cost a job. It is not worth it if you miss only a few calls a month, or if your callers will happily reply to a text. Test it on after-hours calls first, and only keep it if bookings land, calls are logged and failures alert you.

Q: Do customers hate talking to an AI receptionist? Many do, especially callers with a complex or urgent problem. Hang-ups drop when the assistant says it is automated in its first sentence, runs only when a person cannot answer, and passes anyone who asks for a human to a real person within minutes. Without a fast human handover, it can lose your biggest jobs.

Q: How much does an AI receptionist cost per month? For a business with 60 after-hours calls a month, Goodcall's Starter plan costs $79 and Smith.ai's AI Receptionist costs $105 (25 free calls, then $3 each). A human service such as Ruby costs $720 for 200 minutes. A missed-call text-back on Twilio costs about $2 for the same 60 calls.

Q: Is a missed-call text-back enough instead of an AI receptionist? For many small businesses, yes. A text sent within a minute that asks what the caller needs and when keeps most quote requests alive at a fraction of the cost. Add an AI receptionist only when callers have urgent problems and will not text back.

Q: Should the AI answer during business hours or only after hours? Start with after hours only, when the alternative is voicemail. During business hours, keep a person as the first answer and let the AI pick up only as overflow after several rings. Expand its hours only after a month of call logs shows callers are booking, not hanging up.

Q: Can customers in India call my business on WhatsApp instead? Yes. Meta's WhatsApp Business Calling API lets customers call your business number inside WhatsApp, and calls they start are free. Your number must run on the WhatsApp Cloud API and already have a messaging limit of at least 2,000 unique customers a day. For missed regular phone calls, an automatic WhatsApp message costs ₹0.115 as a utility template.
