Refund & Cancellation Policy

Overview

We want you to feel confident engaging us. This policy explains when refunds and cancellations apply. It should be read together with our Terms of Service.

1. Discovery Call

The 30-minute discovery call is free. There is nothing to refund.

2. Audit + Roadmap

The audit is a paid deliverable. Once we have delivered the audit and roadmap, the fee is non-refundable, because the work is complete and the value is in your hands. If you cancel before we begin the audit work, we refund what you paid, minus any payment-gateway fee that cannot be recovered.

3. Build Projects

  • Before work starts: if you cancel after paying the 50% up-front amount but before we begin building, we refund that amount minus a 10% administrative fee and any non-recoverable gateway charges.
  • After work starts: the up-front amount covers work already done and is non-refundable. If you cancel mid-project, you pay for work completed up to that point; anything beyond that is not charged.
  • On go-live: the final 50% is due when the build goes live and is non-refundable once delivered.

4. Maintenance (Optional Add-On)

Billed monthly in advance. You can cancel any time with 7 days' notice before the next billing date. We do not refund part-months already started.

5. Third-Party Costs

Server, AI API, and messaging-platform costs are billed to you directly by those providers and are outside our control. We cannot refund them.

6. How to Request a Refund or Cancel

Email support@operateai.in with your project name and reason. We acknowledge within 48 hours and process eligible refunds within 7 to 10 working days to your original payment method.

7. Grievances

If you are unhappy with how a refund or cancellation was handled, contact our Grievance Officer, Ajay Singhadiya, at support@operateai.in. We aim to resolve grievances within 30 days.
